Clarify which product you used
RingCentral acquired the Events and Session product lines from Hopin in 2023. That transaction is not evidence that all Hopin products stopped developing or that customers receive worse service. Identify the current product, contract and migration options that apply to your organization.
Write a representative agenda
Include registration, speakers, concurrent sessions, networking, sponsors, moderation and accessibility. A webinar and a multi-track conference put different demands on software and staff. Use your agenda to decide which candidates deserve a rehearsal.
Build a shortlist around the format
Evaluate RingCentral Events against your existing workflow, Zoom Events for its event ecosystem and documented CRM integrations, and Airmeet where its event format matches your needs. Consider InstaMeet when branded registration, sessions and networking fit alongside website conversations and appointments. Verify capacity and plan availability with each vendor.
Inspect what happens after attendance
Specify registration and attendance fields, contact matching and the owner of follow-up. Test connector behavior rather than assuming that a vendor needs manual CSV exports. Check recording access and retention separately from attendee data. InstaStudio supplies supported recording, transcript and summary features; it is not the event product.
Rehearse before contracting
Invite internal testers to join as attendees, speakers and moderators. Simulate a dropped connection and a late agenda change. Log the work required to recover, export records and send follow-up. Compare the complete proposal without assuming that one platform has the lowest cost at every audience size.
