Who we are and what this policy covers
Instaconnect is a product and service of GENMARK TECHNOLOGIES INC, based in Canton, Michigan, United States, with registered mailing address 45697 SOUTHWICK DR, CANTON, MI 48188, United States ("we", "us"). Our company website is genmarktechnologies.com. Contact us about this policy or a privacy request at instasocial@instaconnect.io.
This policy covers instaconnect.io, our sales and support communications, account administration, and the Instaconnect services to the extent we decide why and how personal information is used. It does not replace a customer organization’s own privacy notice for its website visitors, event attendees, contacts or workspace members.
Our role and your organization’s role
We act as the responsible business or controller for our website enquiries, business relationships, account administration and our own security and legal obligations. When a customer uses Instaconnect to handle conversations, bookings, events or recordings for its own purposes, that customer normally decides the purposes of the processing and we process the customer content on its instructions.
If you interact with an organization using Instaconnect, contact that organization first about its use of your information. We will help it address a request as required by the applicable agreement and law. Our Data Processing Addendum explains the terms available for customer-directed processing.
Information you provide
Website enquiries can include your name, email address, company, role, telephone number, subject, message and the type of request. Required fields are marked on the form. We use this information to respond to the request and manage the resulting business relationship. A demo request does not automatically subscribe you to a marketing newsletter.
Account and commercial information can include user and organization identifiers, contact details, permissions, subscription or order information, invoices and support correspondence. Payment details are handled through the payment method or provider identified at checkout; do not put card numbers or bank credentials into a chat or enquiry form.
Depending on features the customer enables, customer content can include messages, knowledge documents, attachments, booking details, event registration and attendance information, audio, video, screen-sharing content, recordings, transcripts and summaries. You and the customer organization control what you submit. Do not submit sensitive information that is not needed for the conversation.
Information collected through use
Our hosting and service providers may process connection and device information such as IP address, browser type, request time, requested pages, errors and security events to deliver and protect the service. Optional website analytics is disabled until you choose to accept it.
When you accept website analytics, Google Tag Manager loads the configured Google Analytics tag. Page paths, interactions, referral or campaign information and technical connection information may be processed to understand site usage and conversion journeys. Our website’s custom conversion events do not deliberately include the name, email, phone number or message entered in an enquiry form.
Campaign labels in the current website visit are kept in application memory and can be passed to the signup destination. The website does not persist those labels in a separate marketing cookie or local-storage record. The Cookie Policy explains browser storage and your controls.
Information from other people and services
A workspace administrator, event organizer, colleague or business partner may supply your contact information or invite you to a workflow. If a customer connects a calendar, identity or other integration, the information exchanged depends on the permissions granted and the supported connector. The connecting organization is responsible for choosing those permissions and providing an appropriate notice.
External sites and services operate under their own notices. A link to another service does not mean that all of its data practices are covered by this policy.
Why we use information
We use relevant information to answer enquiries; provide accounts and requested features; arrange demonstrations and support; administer orders and billing; keep services reliable; investigate misuse and security problems; understand consented website usage; comply with law; and establish or defend legal claims.
Where consent is required for optional analytics or marketing, we seek it and you may withdraw it. We do not treat silence, merely browsing the site, or asking for support as consent to optional analytics or unrelated promotional email. Necessary service and security messages are separate from promotional messages.
Legal bases where applicable
Where European or UK data-protection law applies to processing for which we are controller, we rely on steps requested before a contract and performance of a contract for delivering agreed services; legitimate interests for ordinary business correspondence, service protection and proportionate administration; consent for optional tracking and communications where required; and legal obligations for required records and disclosures.
Our legitimate interests are operating a reliable business service, responding to the people who contact us, preventing fraud and misuse, and protecting our rights. We consider the impact on individuals and applicable safeguards. You may object to processing based on legitimate interests. Customer-directed processing follows the customer’s instructions and applicable processing agreement.
Who receives information
Information may be available to authorized GENMARK TECHNOLOGIES INC personnel and service providers supporting hosting, data storage, communications, analytics, payments, AI, media delivery or customer support, as relevant to the feature. Access is limited to the purpose for which information is needed and the applicable contractual arrangement.
Workspace administrators and other participants can receive information that a customer chooses to share through a workspace, event, meeting or conversation. Publicly posted content may be visible to anyone. Check the audience before sharing a file, recording or link.
We may disclose information when legally required, to protect people or systems, to investigate abuse, or in connection with a merger, financing or transfer of the relevant business, subject to applicable safeguards. We do not sell website enquiry contents as a data product. Our public Service Providers page distinguishes verified marketing-site providers from the deployment-specific processor schedule required for application customers.
AI, recordings and human review
AI features can process the knowledge, prompts, messages or media supplied for that feature and generate answers, transcripts or summaries. Outputs can be inaccurate and must be reviewed before they are relied on or shared. The customer decides whether a feature is appropriate for its content and users.
An organizer enabling recording, transcription or AI assistance must provide legally required notices, obtain any required permissions, and respect requests and local recording laws. This privacy policy is not consent to record a particular person or meeting.
Provider retention and model-use conditions depend on the AI service and deployment agreement. Do not assume a zero-retention setting or that all providers have identical training restrictions. Request the applicable processing terms before enabling AI for confidential content. Instaconnect is not offered for solely automated decisions with legal or similarly significant effects on people.
International processing
GENMARK TECHNOLOGIES INC is based in Canton, Michigan, United States. Service providers and authorized personnel may process information in the United States and other countries associated with the chosen deployment or service. This website does not promise that all information stays in one country.
Where a transfer requires a specific safeguard, the responsible parties must put that safeguard in place before the restricted transfer. A reference to a DPA on this website does not by itself execute Standard Contractual Clauses, a UK transfer addendum or any other transfer agreement. Contact us for the locations and safeguards applicable to your proposed service.
Retention and deletion
We retain information for as long as reasonably needed for the purpose for which it was collected, the active business or service relationship, legitimate record-keeping, dispute resolution and legal requirements. The period depends on the information’s sensitivity, the relationship, relevant contracts, and whether a shorter period or deletion is required by law.
Customer content retention depends on the enabled features, customer instructions and agreed service terms. Export and deletion requests can be made through our contact address; availability in a user interface does not replace those rights. Backup copies and records that must be retained for law, security or disputes may take longer to remove and remain restricted to those purposes. We do not promise an automatic deletion period that has not been agreed for the deployment.
Your choices and privacy rights
You can use Cookie preferences in the website footer to accept or reject optional analytics. You can also clear or block browser storage. To stop promotional communications, use the unsubscribe method in the message or email us. We may still send necessary account, transaction or security communications.
Depending on the law that applies, you may request access to or a copy of personal information, correction, deletion, restriction, portability, an explanation of processing, or an objection to certain processing. You may withdraw consent without affecting processing that was lawful before withdrawal. Where applicable, you may opt out of sale, sharing or targeted advertising, limit certain uses of sensitive information, appoint an authorized agent, and appeal a denied request.
Send requests to instasocial@instaconnect.io with the subject "Privacy request" and enough information to locate the relevant account or interaction. Do not send passwords or identity documents in the initial message. We may ask for proportionate verification and will explain any legal exception or denial. We respond within the time required by the applicable law and do not unlawfully discriminate against people for exercising their rights.
If your request concerns content controlled by a customer, identify the organization or event so we can direct it appropriately. You may also complain to your relevant supervisory authority, including the UK Information Commissioner or the authority where you live or work in the EEA. Children and restricted information
Instaconnect is intended for business users and adult audiences. Account holders must be at least 18 and able to enter the relevant agreement. The service is not directed to children under 13, and customers must not use it to collect children’s information without a separately agreed, lawful and supported arrangement.
Do not use the service for protected health information, clinical care or patient intake, payment-card credentials, or other highly sensitive records requiring protections that have not been expressly agreed. No HIPAA business associate agreement is offered through these website terms. If you believe a child’s information or prohibited sensitive information was submitted, contact us so it can be reviewed.
Security and policy changes
We use administrative, organizational and technical measures appropriate to the services and risks, but no service can guarantee absolute security. Our Trust Center describes the current review scope; it is not a certification or a promise that every deployment uses the same controls.
We may update this policy to reflect changes in services, practices or law. The effective date identifies the current version. Where a material change requires additional notice or consent, we will provide it through an appropriate channel before applying that change.
