    Capabilities

    What InstaCall does.

    01

    Event types & availability

Personal and team availability with date overrides, buffers, booking limits and custom questions.

    02

    Routing forms

Qualify on form answers and send the booker to the right team or person in one step.

    03

    Team round-robin

Configured team pools can distribute eligible requests across available hosts on branded booking pages.

    04

    Calendar connections

Connect Google Calendar and Microsoft 365 and set a default calendar per user. External busy-time conflict checks and automatic write-back are future scope.

    05

    Public booking, cancel & reschedule

Pages at /username/slug. Every confirmation email carries a token link to cancel or pick a new time.

    06

Book from chat, or by voice

The widget and the voice assistant are entry points into the same availability — no separate booking tool.

    07

    Instant meetings

Start an on-demand InstaTalk room and share a clean /m/your-meeting link. No Zoom add-on.

    The working sequence

From routing answer to confirmed booking

    1. 01

      The visitor answers routing questions

A commercial or operations lead owns the questions.

A short form gathers only the answers needed to choose a configured booking route.

    2. 02

Answers select an event type or team

The operator owns route design and exceptions.

Configured conditions route the request to a person or an available team pool.

    3. 03

Availability and rotation produce a slot

Each host owns accurate working hours; the team owner monitors coverage.

The booking flow uses configured availability and team round-robin rules.

    4. 04

The visitor books and receives confirmation

The meeting owner checks that the booking was assigned correctly.

The public page records the booking and sends a confirmation with signed cancel and reschedule links.

    5. 05

Changes use the signed booking links

The operator owns follow-up when a route or host is unavailable.

The booker can cancel or choose another available time without exposing an open edit link.

    Setup

    What to prepare

    • Event types, duration, questions, buffers, booking limits and date overrides.
    • Hosts, team coverage, availability windows and time-zone expectations.
    • A fallback owner for routing gaps or unavailable team pools.
    • An end-to-end rehearsal covering booking, confirmation, cancellation and rescheduling.
    Boundaries

    Plan around the current limits

    • Google and Microsoft calendar connection and default-calendar selection are supported. External busy-time conflict checking and automatic write-back are future scope.
    • The operator must monitor external calendars manually until those conflict and write-back steps are supported.
    • CRM account-owner routing and advanced CRM-object routing are future scope.
    • Voice booking writes into the Instaconnect booking flow; external calendar synchronization is not promised.

    Questions teams ask

    Questions about InstaCall

Can a form route a request to a team?

Yes. Configured answers can select a person or an available team pool, and a team pool can use round-robin distribution.

Does InstaCall prevent conflicts in an external calendar?

Not currently. Connecting Google or Microsoft and selecting a default calendar are supported, but external busy-time conflict checking and automatic write-back are future scope.

Can a booker cancel or reschedule?

Yes. Confirmation messages can include signed links that let the booker cancel or choose another available time.

Can routing use the account owner in our CRM?

CRM account-owner and CRM-object routing are future scope. Current routing uses configured form answers, people and team pools.

What should we test before opening bookings?

Rehearse the public form, routing result, host assignment, confirmation, cancel and reschedule paths, including a case where the preferred team has no coverage.
