Separate fewer tickets from better service
A lower ticket count can mean a problem was solved, but it can also mean customers could not reach you. Track repeat contacts, unresolved requests and satisfaction alongside volume. Define which ticket categories are avoidable and which represent legitimate work that should remain easy to access.
Find recurring causes
Review a representative sample and group requests by the customer’s underlying task. Look for confusing product steps, stale documentation, unclear policies and repeated incidents. Assign a product or content owner to the largest actionable causes. Fix the cause where possible instead of making the support route harder to find.
Maintain a dependable answer set
Consolidate duplicate articles and make important answers easy to find in the relevant product context. Give each policy an owner and review date. If an AI bot uses those documents, test its answers after changes. Separate a policy explanation from an account-specific action that needs identity checks and system access.
Keep escalation visible
Customers should be able to ask for a person when the answer is missing or the situation is exceptional. Pass the conversation and attempted steps to the next owner. Measure the change fairly
Compare request volume relative to active customers or another meaningful demand measure. Keep the time window and category definitions consistent.
