    Start with the queue you operate

    List the channels, languages, working hours and request types your team actually handles. Identify which requests need a ticket, a conversation, an appointment or specialist escalation. A helpdesk, a messaging platform and a combined workspace can overlap; none of those labels guarantees a particular workflow. Treat the current queue as the evaluation input.

    Make requirements observable

    Turn broad requirements into demonstrations. Instead of asking for good routing, ask the vendor to route a request with no matching owner. Instead of asking for reporting, ask for a report your team already uses. Separate essential capabilities from conveniences and record whether each is generally available, plan-dependent, an integration or future work.

    Test AI with your own questions

    Use a representative, de-identified set with an agreed answer key. Look at unsupported claims, refusals and what the employee receives after escalation. Check whether a customer who abandons the conversation is counted as resolved by the billing model. A vendor’s reported benchmark is not an estimate of your future performance.

    Inspect integrations and access

    Name the objects you need to read or write, the direction of each connection and the owner of failures. Test duplicate contacts, revoked access and retries. Review security documentation against your actual data and contractual requirements with the appropriate internal reviewers. Do not infer compliance, residency or a signed agreement from an integration logo.

    Model the complete purchase

    Separate seat, workspace, ticket, AI and other usage charges. Include migration, training, parallel subscriptions and ongoing administration. Compare the same workload and billing period across offers. A low entry price can describe a different product or tier from the one demonstrated.
