Define the event format
Write down the expected audience, concurrent sessions, moderators, networking format and accessibility requirements. A recurring webinar needs a different rehearsal from a multi-track conference. Include a contingency for a speaker losing connectivity and a clear support route for attendees. Avoid using a single attendee count as the only buying criterion.
Walk through registration
Test a first-time attendee, an existing contact and a corrected email address. Inspect confirmations, time zones, cancellation and any approval step. If tickets or payments are involved, verify their status and payment responsibilities explicitly. A registration page does not establish that every ticketing or refund workflow is supported.
Define the CRM result
Specify the fields and statuses that should arrive in the destination system. Registration, attendance and engagement are different events. Test which ones the connector supports, whether it updates an existing contact and how errors are retried. Zoom Events documents CRM and marketing integrations; it should not be described as a system that only exports CSV files.
Plan the live room and recording
Rehearse speaker access, moderation and attendee networking with the actual team, and note that in-session attendee polls are future scope and not available. Decide whether recording is appropriate and arrange the necessary notices and permissions. Budget time to review transcripts, edit recordings and publish follow-up material. Automatic clips, chapters and searchable libraries are separate future-scope capabilities.

Make the pilot comparable
Run a rehearsal or a small event using the same registration fields, agenda and follow-up requirements on your shortlist. Log preparation time, attendee friction, failed joins and the accuracy of exported data. Compare the complete event cost and operational result; attendance or revenue uplift needs your own evidence.
