A SaaS Customer Onboarding Playbook
Move from the first question to a demonstrable customer outcome.
Move from the first question to a demonstrable customer outcome.
For customer success and saas founders
Define the first useful outcome
Agree on what the customer should accomplish and who is responsible on each side. An account being created is not necessarily activation. Break the desired outcome into a small number of observable milestones and record any technical dependencies.
Prepare support at the point of friction
Use current setup documentation and a clear route to a person. When a customer needs to show an issue, offer video or co-browsing with an informed choice and a written alternative. Avoid asking for sensitive information in a public help conversation.
Use appointments deliberately
Reserve scheduled sessions for work that benefits from preparation or the right specialist. State the objective and required participants. Test availability and calendar behavior before depending on a booking workflow; External conflict checks and write-back are future scope and should be excluded from the current booking plan.
Make follow-up owned
Record decisions, blockers, next actions and dates in the agreed customer-success system. Review generated transcripts or summaries before sharing. A recording does not automatically become a searchable training library, a CRM update or a new knowledge-base answer.
Measure activation and unresolved work
Track time to the agreed outcome, missed milestones, repeat questions and staff effort. Segment by customer use case and implementation complexity. Instaconnect can support conversations, appointments and recordings; proactive product-event triggers and a unified cross-module timeline should not be assumed.
