    A Customer Service Automation Playbook

Choose repeatable work, define exceptions and keep human ownership.

    IN BRIEF

Choose repeatable work, define exceptions and keep human ownership.

    For support operations teams

    Select one bounded workflow

Choose frequent work with a stable policy and a clear result, such as answering a documented product question. Record how employees handle it today, including exceptions. Avoid starting with a high-consequence account or payment action simply because it is repetitive.

    Write the decision boundary

Specify the information required, the answer or action allowed, and when a person must take over. Include missing data, conflicting documents and an unavailable external system. An automated workflow should fail visibly with an owned next step.

    Prepare knowledge and access

Give policies owners and review dates. Limit the information and permissions available to the workflow. For changes in another system, verify identity, authorization, logs and reversal before enabling execution. These requirements should be proven in the selected platform rather than assumed.

    Run a supervised pilot

Use representative examples and review outputs before expanding exposure. Track serious errors, repeat contacts and employee correction time. Preserve a manual route and decide who can disable the workflow. Do not count customer abandonment as successful automation.

    Expand based on operating evidence

Compare the completed customer outcome and total work against the baseline. Instaconnect’s content-grounded bot and human handoff can fit an informational workflow; autonomous refunds and order changes are not established capabilities. Expand one bounded task at a time while keeping policy ownership and monitoring in place.
